K&N B2B Website

K&N has a convenient way for direct customers to enter orders, check order status, and manage K&N data subscriptions online. Thanks to K&N's secure B2B website, these tasks can be done 24 hours a day 7 days a week. Contact your K&N Account Manager to get your business set up to take advantage of this site.

Initial Setup

  • To request access to the B2B site for your account, change a user’s access level, or add new B2B users, please contact your K&N Account Manager or K&N’s Customer Service Team at [email protected]
  • Please note that requests to add new users must be sent from the Accounts Admin User’s email address or be approved by your K&N account manager.
    • If you do not know who the Admin user is at your company, please reach out to your K&N account manager for assistance.
  • Please include the user’s name, email address, desired level of B2B access, and K&N account number.

B2B Access Levels

K&N Offers different access levels for the B2B site based on the needs of a user

  • B2B Admin: This level of access includes

    • Order entry, product price and available lookup, address entry for order drop-shipping, direct order shipment, order status review, access user settings and activity, delete stored credit cards (if stored on the B2B site), delete existing contacts, edit existing contact information, and manage subscriptions for existing contacts.
    • WARNING – deleting a contact will remove the contact from the B2B system from our system. This includes any email subscriptions they have, B2B access, and any future communications. If the user is still with your company and access from the B2B site needs to be removed without other restrictions, please have your Admin User contact Customer Service.
  • B2B Order Entry: This level of access includes

    • Order entry, product price and available lookup, address entry for order drop-shipping, direct order shipment, order status review, access user settings and activity, and delete stored credit cards (if stored on the B2B site).
  • B2B Order Entry – No Dropship: This level of access includes

    • Order entry, product price and available lookup, direct order shipment (shipping address cannot be edited), order status review, access user settings and activity, and delete stored credit cards (if stored on the B2B site).
    • Note – the address fields will be blank, user can click “Continue” to use the default address on file, or enter one of the pre-configured ship-to(s) to load an address. Manual address entry is not possible with this permission.
  • B2B Reports: This level of access includes

    • Order status review, access user settings and activity, and delete stored credit cards (if stored on the B2B site).

B2B Login Screen

Once a B2B user has been set up by your K&N account manager and/or K&N’s Customer Service team, the user will receive an email with a link for creating a password. Once the password has been created they will login using their email address, account number (or ship-to number), and password. All accounts must have one B2B Administrator.

Main Menu

After a successful login the main menu will appear on the left side for desktop/computer screens. For mobile devices, the menu will appear at the top in a compressed dropdown list. For visits after the account is set up users should go to B2B Login: https://b2b.knfilters.com/

The K&N B2B website has 7 main sections (The B2B administrator has access to all these sections):

Please note, some sections may not be accessible based on B2B access level configuration. If the section is not available, a notification pop-up will be displayed (see red warning image below)

The My Account section shows the user’s name, email address. This section can also be used to editing the name and/or email address of the user, or changing the login password

Create an Order

1. Order Entry

Account orders can be entered by selecting "Create an Order." Parts can be entered using the sku box in the upper left corner of the page. Entered skus will then be added by selecting the "Add to Order" button. The process can be repeated as necessary until complete order is entered.

  1. Order Creation by Manually Adding Products
    1. Users can use the “SKU” and “Qty” boxes to add part numbers to the order. Products can also be added in bulk using the File Upload process noted below.
    2. After parts are added, the user can see the part's stock status as well as the pricing levels (see Settings and Activity).
    3. Price displays – By default pricing will display based on account configuration, Any price level that has been hidden or removed by the Admin User will show $0 in the order entry screen. If the pricing needs to be displayed, please contact your Admin user. If consumers can see the computer screen, it might be a good idea to have the pricing hidden.
    4. When all parts have been entered the "Continue" button will advance the user to the Shipping Details page.
  2. Order Creation with File Upload
    1. Orders can also be imported from a text file. An order of up to 300 rows can be imported using a (.CSV) text file where each row contains a part number in the first column and the quantity in the second column. An Excel spreadsheet can be saved as CSV (comma spaced value) text file by selecting "Save As" then selecting "CSV (Comma delimited) (*.csv)" as the type. To import the file, click the "Browse" button, select your csv text file, then click the "Add to Order" button to import your order.
    2. Important notes about file upload
      1. File must be a standard CSV format
      2. The part number (SKU) must be placed in the first column
      3. The quantity for each part must be placed in the second column
      4. The first column must have the header sku and the second column must have the header qty as shown below

2. Shipping Address

  1. Pre-loaded store addresses

    Address form

    1. Account login users: If user logs in using a 5-Digit Account Number. When logged in, if the account has multiple "ship to" addresses, they can use either the full ship-to number, the last digits after the second period (aka the store number), or the store number. For a list of ship-to and store numbers, please contact your K&N account manager.

      1. For example: If the user is logged into account 00000 and store 37 has a ship-to 00000.1.00037; the following entries will load the address of that store
        1. Ship-To: 00000.1.00037
        2. Ship-to suffix: 00037
        3. Store Number: 37
    2. Ship-to login users: If a user logs in using a 5-Digit Number plus the sub ship-to number (aka store number like 00000.1.00037). When logged in, the address of that ship-to will preload in the shipping address.

  2. PO number: It is highly recommended that the user enters a PO number to help identify the order later as the “order number” issued by the B2B site is a reference number. The final order number will be issued when the order imports into our main system. If left blank, the system will auto assign a PO number.

  3. Manual Address Entry: Depending on the user's type of B2B subscription, a shipping address can be entered manually.

    1. When entering the address information into the address fields, please enter the street address on line 1 and any additional information like apartment, suite, business name, etc... on the second line.

  4. Name/Address copy and paste box: Users with permission to enter shipping addresses can either paste in the address into the address fields or paste an address in a text box then select the "Transfer Address" button to have the shipping information automatically entered.

    1. Please note that if the address contains a second address line such as a suite, unit, or apartment number/unit, this cannot be used for address transfer. We recommend entering the basic address, then adding the details of the second address line (e.g., suite, apartment number, units number, etc…) after the transfer.

  5. Note about Country Selection
    1. The country selection will be limited to the country of the account and/or ship-to due to how orders are processed by K&N. If you normally ship to locations outside of the account country, please contact Customer Service or your K&N Account Manager for assistance.
  6. Don't Ship Before Date Selection:
    1. In cases where the user does not want the order to ship before a certain date, they should set the "Don't Ship Before" date to force an order to hold until that date.

  7. Allow Backorder Checkbox
    1. A checkbox for allowing or to not allow backorders is available; this box is checked by default. Unchecking this box tells the system to ship and cancel an order and the K&N system will ship all items possible, any items not shipped on the initial release will be canceled. Checking this box tells the system to continue shipping an order until fulfilled or manually canceled.

  8. When the shipping address is complete and the order options set as desired, the user should then select the "Continue" button to proceed to the Shipping Method page.

3. Checkout

  1. Delivery Method
    1. The user can select a shipping method (based on the account’s configured default carrier) or it can be left at the account’s default.
    2. Please note that selecting a different shipping method than what has been set as the account default will cause freight to be billed, even if the order value is over the prepaid minimum.
    3. The carrier and shipping methods displayed will depend on the weight threshold setting of the account. If the total weight of the items exceeds the minimum parcel weight threshold, the system will show the configured LTL shipping methods instead. We recommend for LTL to select the default option to avoid unexpected fees.
  2. Payment
    1. For accounts with payment NET terms (e.g., NET 30 where the invoice is due 30 days from invoice date), no selection is needed
    2. For accounts with credit card payment terms, select “Credit” under the payment area to enter a new credit card or select a prior saved credit card. Please note that any card on file with customer service will not be accessible on the B2B website.
    3. After the shipping service is selected, "Continue" will take the user to the Order Review page.

Order Confirmation Page

  1. Once the order is placed, the B2B site will provide an order reference number such as 9500002158.
  2. The order reference number is not the order number. The order number will be assigned once the order submission has been completed
  3. To obtain the order number, please check the Order Status menu option later (normally, the order number will generate within 15 minutes of order submission).

Order Status

  1. The "Order Status" menu option allows the user to see recent account orders both placed in our system and on the B2B site.
  2. The report can be filtered by PO#
  3. Report choices include:

    1. New Orders = displays all recently placed orders
    2. Open Orders = displays all current open orders in our system
    3. Completed Orders = displays all recently shipped orders and tracking numbers
    4. Cancelled Orders = displays all recently canceled orders

Settings & Activity

ADMIN USER ONLY
  1. The "Settings & Activity" page allows the administrator to control what pricing is shown when an order is being created on the B2B site.
  2. Cost, MSRP, and Wholesale pricing can be toggled on or off.
  3. If your customers can see the screen , the admin may want to only show MSRP and turn off Cost and Wholesale pricing.
  4. The administrator can also view login activity for contacts set up on their B2B account by selecting the "Login Activity" button.

Settings & Activity

Credit Card

  1. Automated Credit Card (ACC) terms may store credit cards on the B2B site for easier access on future orders.

    1. Accounts with payment terms (e.g., NET30) are unable to pay for an order with a credit card
    2. The credit card screen is used to delete stored credit cards used for orders.
    3. To store a credit card on the B2B site, select the Save Payment option during the shipping method selection of order entry.
    4. Note – If there is a card on file, it must be re-entered and saved on the B2B site as the two systems manage payments separately. In addition, updating the card number on the B2B site will not update the card on file with Customer Service.

Manage Contacts

ADMIN USER ONLY

This section allows an admin user to see and manage account contacts including a user’s name, phone number, and/or email address.

Email Data Subscriptions

  1. This section allows an admin user to see and manage email data subscriptions for the contacts of an account.
  2. The available subscriptions include application data, account pricing data, standard invoices, K&N B2B permissions, and more.
  3. An admin can also change the schedule of current notifications and set up new ones for existing contacts in your account. To set up a data subscription for a new user, please contact your K&N account Manager or K&N Customer Service.
  4. For questions about the different email subscriptions, please contact your K&N Account Manager.
